Field Names and Descriptions

The following is a list of field names and descriptions found in our database.


Property ID: Reference number unique to RealtyTrac to locate listings in our database.

Parcel Number/APN:  “Assessor's Parcel Number” used by a county to keep track of property in the county.

Note Holder(s): Original borrower/homeowner who is in foreclosure (may also be referred to as the “trustor” by the trustee).

Trustee: A party who holds a property’s “title” for the benefit of others. For foreclosure, the trustee often holds title for the benefit of both the trustor (borrower) and beneficiary (lender). Usually the trustee files the foreclosure paperwork and oversees any public auction. 

Attorney: Legal professional(s) hired by foreclosing lender to manage the foreclosure process. The attorney’s duties typically include filing required court documents, serving notice to homeowners in default, and properly advertising the public foreclosure sale. The attorney is restricted by law from giving out too much detail about the property, but usually can confirm the status of the foreclosure, scheduled sale date and estimated opening bid.

Lender: The original source of a loan to a borrower and the entity that initiates the foreclosure proceedings. Also referred to as a “beneficiary.”

Referee: In some states, a party appointed to perform certain functions relating to the public auction of the property. Usually these functions include calculating the amount of the opening bid and directing the public auction of the property.

Bldg Price Sq Ft: Estimated price per square foot of the building.

Lot Price Sq Ft: Estimated price per square foot of the lot.

Square Feet: Total area in square feet of property building.

Doc Number: “Document Number” assigned to recorded documents from which property information originates.

Trustee/Reference #:  Number assigned to a property by the trustee. Used by trustee to track status of foreclosure and auction proceedings.

Type: RealtyTrac code for property, based on county zoning of property (Residential, Commercial, Vacant land, etc.). Example: RSFR = R (residential) + SFR (single family residence).

Recorded date: Original date when foreclosure documents were filed with the county recorder's office.

Entered On date: Date when RealtyTrac received and posted information.

Sale Date: The tentative public auction date recorded on the notice of foreclosure sale. The public auction can not occur before this date, but the auction can be canceled or postponed to a later date without a new notice of sale being recorded. Even if this date has passed, you should call the trustee on RealtyTrac or the county sheriff to find out the current status of the public auction.

Sale Location: Address where the sale of property at public auction will occur.

Auctioneer: The company or person responsible for scheduling, marketing and conducting a bank-owned property auction on behalf of the foreclosing bank or lender. A foreclosing lender might hire an auctioneer to act as a third-party, professional resource who can sell bank-owned properties quickly and efficiently.

Opening Bid: Amount set for a starting bid on the purchase of property at a Trustee's Sale (auction). Usually based on the remaining loan balance still owed to the lender. In some states the trustee is allowed to include fees and costs associated with preparing for auction in the opening bid.

List Price: The price at which a seller desires to sell a property for when listed on the open market. The list price typically includes any real estate commissions.

Balance: The principal remaining on a loan balance still owed to the foreclosing lender.

Last Payment: The date the defaulting owner first became delinquent, or behind, on payments.

Default Amount: Total amount of payments in arrears, or delinquent.

Loan Date: Date of original loan.

Loan Doc #: Loan document number assigned by a county recorder’s office.

Status: Designation of the stage of foreclosure (pre-foreclosure, auction, bank-owned) based on the foreclosure document filed (NOD, LIS, NTS, NFS or REO).

Trans Value: Amount paid for property the last time it sold.

Trans Date: Last date property was sold.

Land Total: Last assessed value of the land itself (without attachments) as calculated by the county tax assessor’s office.

Improvements: Last assessed value of any improvements (like buildings and swimming pools) attached to the land as calculated by the county tax assessor’s office.

Assessed Total: Total value of both land and improvements/attachments as calculated by the county tax assessor’s office. Please contact the county assessor for information on how assessments are calculated.
